How the work unfolded

Challenge

Kuching household, two retirees

A couple had accumulated forty years of household documents across six different boxes and two filing cabinets. Neither knew what the other had filed or where key originals were kept. Their adult children, living in Peninsular Malaysia, had no knowledge of the system at all.

Approach

Retirement Records Programme, 4 meetings

We ran a full inventory across both storage areas, then worked through categorisation and labelling over three further meetings. The final session produced a household binder and a printed handbook covering all document locations, with a simple index their children could follow remotely.

Result

Six boxes reduced to one labelled shelf

The couple condensed six storage boxes into a single shelf of clearly labelled folders. Their daughter, visiting two months later, was able to locate the property documents she needed in under three minutes without assistance.

Individual, pre-retirement planning

A professional in her early sixties wanted to begin organising her records before retirement but did not know where to start. She had scanned many documents informally but had no naming convention and no printed backup. The digital files were as disorganised as the physical ones.

Approach

Records Visit, then Retirement Programme

We began with a Records Visit to establish a basic structure, then she enrolled in the Retirement Records Programme six weeks later. The programme addressed both physical and digital file organisation using the scanning checklist we developed together.

Result

Parallel physical and digital structure

Physical folders and digital folders now follow the same naming convention. She has a printed handbook covering both systems, and the scanning checklist identified eleven documents she needed to locate originals for before retirement.
